Volunteer Position Descriptions
Our league, our team and the meets are parent planned and executed efforts! We cannot exist without the commitment and support of our parents. PARENT PARTICIPATION IS REQUIRED FROM ALL PARENTS OF REGISTERED SWIMMERS REGARDLESS OF THE SWIMMER'S PARTICIPATION IN MEETS. Each family is required to volunteer for at least 4 meets during the season. The volunteer requirement for these meets is for the entire meet, not half of the meet. Each meet is worth 1 point, so all families will need a total of 4 points. These must be separate meets and not 2 points per meet.
The Cruzer Parent Reps will notify all families when volunteer shifts are open and when they will close. If a family has not signed up for their volunteer shifts at the closing date, the Parent Reps will assign families to shifts. Swimmer(s) will not be eligible to participate in the program until the family has signed up for 4 volunteer commitments/meets. Additionally, parents cannot select volunteer commitments just to complete the registration process and then email the coaches that they are unable to fulfill the roles selected. It will be the parents responsibility to swap shifts with another parent.
If parents are scheduled to work a meet and cannot fulfill their commitment to do so, they MUST FIND A REPLACEMENT to work and MUST NOTIFY THE VOLUNTEER COORDINATOR of a replacement BEFORE THE MEET. Failure to work a meet you are scheduled for without finding a replacement or are more than 10 mins late to your shift will result in a $200 fee to the member's club account and could impact your child's participation the next season.
AGE GROUP PARENT
- Arrive 30 minutes before WCC warm-up time begins
- Set up age group tents
- Check in at volunteer check in table before proceeding to your assigned age group area.
- Check in swimmers as they arrive and let children know which event(s) they are swimming. Especially important for relays.
- Sit with age group throughout ENTIRE meet. Do not leave meet until every child has been placed with a parent.
- Never leave age group unattended.
- Line up age group for events in swim order and walk them to ready bench.
- Help with relay team line-up in correct order and inform coaches of any 'no shows' so that substitutes can be found for relays. Please do not name a replacement/substitute without approval from coach.
- Ensure that your age group is free of food garbage, and take down the age group tents.

TIMERS
- Arrive in seat 15 minutes before meet begins and stay until meet ends
- Attend timers meeting before meet starts
- Time swimmers throughout entire meet
- Short breaks are possible using sub-timers
- May be hot if timers are seated in sunny area

READY BENCH
- Arrive at least 15 minutes before meet begins and stay until meet ends
- Call teams/children to line up in order of event/heat sheets
- Assist Ready Bench Chair in placing swimmers on ready bench
- Assist with moving swimmers to ready chairs

READY CHAIRS
- Arrive at least 15 minutes before meet begins and stay until meet ends
- Assist with moving swimmers through ready chairs and to edge of pool for each race.
- Ensure swimmers are racing in correct lanes per heat sheet
Volunteers needed for home meets: 2

HEAT RIBBONS
- Arrive 15 minutes before start of meet and stay the entire meet
- Pass out heat ribbons after each event to visible winners of each race
Volunteers needed for home meets: 2

AWARD RIBBONS
- Ribbon work will be done at the meet.
- Put stickers on the meet ribbons and file them by swimmer

EVENT MONITOR
- Communicate with set up/take down team prior to the meet.
- Arrive at least 15-minutes before the start of meet and stay until the meet ends.
- Manages volunteer check in and check out.
- Monitor flow of home meets (ready bench flow, etc)

RUNNER
- Arrive 15-minutes before start of meet and stay until end of meet
- Collect time heat sheets from timers and take to computer table
- Collect DQ forms from Stroke Judges and take to computer table
Volunteers needed for home meet: 2
COMPUTER
- Arrive at least 15-minutes before meet begins and stay 15-20 minutes after meet ends
- Collect event/heat sheets from runner and highlight DQs and times
- Orally communicate times to computer operator
- No computer skills needed
Volunteers needed for home meets: 4 (must be trained)
STROKE JUDGE
- Work on pool deck to ensure swimmers are swimming strokes legally/correctly.
- Detect disqualifications in swimming technique.
- Fill out DQ forms and submit to computer desk.
- Work in shifts during meet.

STARTER
- The 'head referee' for the swim meets
- Announces and starts each race using team starter and PA system.
- Detects false starts
Volunteers needed for home meets: 1
ANNOUNCER
- The announcer updates the meet attendees on schedule of events, heats, etc and any other important information related to the meet logistics and timeline.
Volunteers needed for home meets: 2
SET UP & TEAR DOWN
- The set up and tear down team assists in setting up for the meet and the tear down/clean up after the meet.
